How and why do we collect information from you?

Information you give us directly
1) General correspondence via written or verbal communication (e.g. emails, letters, telephone, face-to-face)
This may be any enquiry relating to the business, the website, the services or products we offer. The data we are likely to process is your name and contact information. Our legal basis for processing this will our legitimate business interests.

2) Completing a contract of work
During the process of taking on a contract of work, we may process your personal data. The data we are likely to process is your name, address, telephone number and email address. We might also process your bank details if you pay via bank transfer. We will use this data to keep in contact with you over the duration of the contract, possibly including follow-up communication as part of our after-sales service. Our legal basis for processing this will be completing a contract with you.

3) Marketing information request
We may offer you various opportunities to sign up to receive news and promotional material via email. We use 'Squarespace' for our email notifications, who include an 'unsubscribe' link at the bottom of each email. The newsletter sign-up feature only collects an email address for our mailing list, so the data we are likely to process is your email address. If you choose to reply or otherwise offer us any further data (e.g. name or address) then we will also process this. Our legal basis for processing this will be consent. You can withdraw this consent at any time via the unsubscribe link.

4) Other circumstances
There may be unforeseen circumstances that we will process data other than outlined above. For example, there might be situations where we are required to process your personal data to fulfil a legal obligation that we have, such as keeping records for HMRC, or when required to by a court.

There might be situations where we are required to process more personal data than would be absolutely necessary. An example of this would be that you ordered a keepsake box and ask for it to be engraved with the name and date of birth of the recipient. Us 'processing' the data of birth is only necessary due to the specific nature of the engraving requested. In each circumstance, we will obtain your permission to process this personal data. The legal basis will be consent.

There might be situations where we are required to process your information to protect vital interests, which usually means to protect life. An example might be if you fell ill at a customer event we were holding, and we disclosed your name and address to the health services so you could receive appropriate medical treatment.

Information we receive indirectly
We may receive information about you indirectly by a third party. These might include subcontractors who provide us with technical, payment or delivery services. Please check the privacy notice of any third party you give your data to. 

Information when you visit this website
We use cookies on our website. More information can be found on the 'Use of Cookies' section at the bottom of this notice. When you visit this website, we may automatically collect non-personal information from you. This includes:

  • Browser and operating system that you use. 

  • Information about how you arrived at, moved around and used our website.

We collect this information to better understand how our website is being used (for example: seeing what content on our website is most popular, and seeing how and from where visitors arrived at our website). However, the information is aggregated for analysis - we do not collect any information that would identify you as an individual.

When you interact with us on social media platforms (e.g. Facebook and Instagram) we may obtain information about you. The information we receive will depend on the information you have uploaded onto that platform and the privacy preferences you have set.

How long is your information kept for?
Determined by various operational and legal considerations, we will keep your information for no longer than necessary for the purpose it was collected for. For example, we have a legal obligation to retain account information for HMRC for five years after the January 31st tax year submission date.

Providing your personal data to others
1) We do not sell or rent your information to third parties.

2) We may disclose your information to third parties to complete a contract. 
For example, we may disclose your name, address and telephone number to a courier or delivery service acting to deliver your products. Or we may disclose your personal information to a furniture fitter who is installing a piece of furniture we have made for you.

3) We may disclose your information to third parties for marketing purposes if we have your prior consent. These marketing purposes will relate to our own goods and services.
For example, we may exhibit in a gallery who offer VIP tickets to our customers. If you have already consented to receive marketing from us, we might contact you to ask whether you are interested in receiving this offer from this gallery, so you may have a VIP viewing of our furniture. 

4) There may be other, unforeseen reasons for us to disclose your information to third parties. We would only do so with your prior consent.

5) We may disclose your information to third parties if we are required to do so by law, as the result of a court order, to prevent fraud or another crime.

Marketing communications
If you consent to join our email notification list we will send you marketing information. You may opt out at any time using the unsubscribe link at the end of the email. We use the website 'Squarespace' to handle our email marketing, and you may view their privacy policy at https://www.squarespace.com/privacy/

If you consent to receiving other marketing communications from us, we may contact you via email, text-messaging (including social media such as Whatsapp, Facebook and Instagram), telephone or post, depending on which method you have agreed upon. you may opt out of this at any time, by getting in contact with us using the same service.

We are committed to putting you in control of your data, so you are free to change your marketing preferences at any time. We will not use your personal information for marketing purposes if you have indicated that you do not wish to be contacted. However, we may still contact you for administrative purposes involved in completing a contract with you (such as processing your payment or asking for feedback on a product).

The right to be informed
You have the right to be informed about our collection and use of your personal data, which this privacy notice sets out to do. If there is any reason we would need anything else from you, we will let you know what we need, our lawful basis for processing it, and for what reason. 

Right of access
You have the right to request a copy of the information we hold about you, and we will provide this to you within one month of your request unless we are required not to for legal reasons. For more than one request we may charge an administrative fee.

The right to rectification
You have the right to have inaccurate or incomplete information we hold about you corrected. If you believe we hold inaccurate or out of date information please contact us so we can review it, and correct it if necessary. If we are uncertain of your identify we will need you to provide proof.

The right to erasure
You may ask us to delete some or all of your personal information. We will do this if the original purpose for which we processed the information no longer applies, and if we are not required to keep your information for legal reasons (e.g. tax records).

The right to restrict use
You have the right to ask us to restrict the processing of some or all of your personal data if there is a disagreement about its accuracy or we are not lawfully allowed to use it.

The right to data portability
If we are processing your data based on your consent or to carry out a contract with you, and we are carrying out that process by automated means, you may ask us to provide it to you or another service in a machine-readable format.

The right to object
You have to right to object to us processing where we are using your personal data based on legitimate interests, for direct marketing or for statistical/ research purposes.

How we keep your information safe
Any sensitive information (such as bank card details) are not processed by us, but rather by a third party ('Stripe'). You can view their privacy policy on https://stripe.com/gb/privacy.

Non-sensitive information, for example, name and contact details, transmitted normally over the internet or telephone can never be guaranteed to be 100% secure, and as a result, we cannot guarantee the security of the information you transmit to us, and you do so at our own risk.

Once we receive your information, we keep it held in a secure database system.

Our website may contain links to websites run by other organisations. Our website may also have been linked-to by websites of other organisations. This policy applies only to our website and we cannot be responsible for the privacy policies of other websites.

No part of this website is intended for, or marketed to, children under the age of 18. If you are aged under the age of 18, please get the permission of your parent/ guardian before you provide us with your personal information.

International Transfer of Information
Due to the worldwide nature of the internet, your data may be transferred outside the United Kingdom via our internet services. The internet services we use (Squarespace, Google) transfer data in accordance with their Privacy Shield Frameworks. By submitting your personal data you agree to this transfer, storage or processing.
